- Manage event logistics end-to-end including run sheets, venue and room bookings, catering, equipment, signage, transport, set-up and pack-down.
- Liaise with internal stakeholders, suppliers and external partners to confirm requirements, timelines and deliverables for each event.
- Provide on-the-day coordination and front-of-house support, ensuring a welcoming experience for prospective students, whānau and visitors.
- Support the promotion of events through marketing channels (e.g., website, social media, email and printed collateral) in line with SIT brand guidelines.
- Work flexibly to support event delivery, including occasional early starts, evenings and weekends as required.
- Provide general marketing and administrative support to the team, including coordination of bookings, invoices, and stock of promotional items.
- Assist with tracking event expenditure and supplier costs, ensuring approvals and processes are followed.
- Gather feedback and contribute to post-event reporting to support continuous improvement of event delivery and visitor experience.
The successful applicant will have the following:
- Proven experience coordinating events or delivering operational support in a busy, customer-focused environment.
- Strong organisational skills with the ability to prioritise tasks, manage timelines, and coordinate multiple event details simultaneously.
- Excellent communication and interpersonal skills, with confidence engaging with prospective students, whānau, staff, suppliers and community partners.
- A practical, can-do approach and willingness to pitch in with set-up/pack-down, displays and general event logistics.
- Competency with MS Office and the ability to learn systems for bookings, registrations, reporting and basic marketing administration.
- An eye for detail and an understanding of the importance of consistent brand presentation across signage, collateral and event materials.
